Case study · Operations / Logistics
BTE: Collection operations, rebuilt.
I replaced spreadsheets, WhatsApp threads and phone calls with one web and mobile operating system for used-oil collection.
- Role: Full-stack design & development
- Platforms: Web + mobile, both roles
- Scale: 4,000+ supplier outlets
- In production: 18+ months, live daily
Problem
The collection business coordinated restaurants, routes, field teams, pickups and cash across separate spreadsheets, WhatsApp threads and phone calls. Every handoff depended on someone manually joining the pieces.
Solution
A shared operations platform for admins and employees on web and mobile. Work orders connect suppliers, routes, pickups, cash, approvals and follow-ups, while dashboards and exports keep the operation visible.
Result
More than 4,000 supplier outlets and 2,000 work orders now run through one system across 9 field teams. The platform has remained in daily use for more than 18 months.
One control room for the operation
The dashboard gives admins and employees the same live picture of collection performance, open work, supplier activity and team progress. Both roles can use both platforms, so access follows responsibility rather than device type.
- Performance overview for collected quantity, in-progress work and estimated versus actual collection
- Work orders that group multiple restaurant pickups into one team assignment
- Supplier records with confirmation, edits and searchable operational history
- Breakdowns by city, team, month and day
Routes become completed pickups
A work order turns a list of supplier stops into a route the field team can execute. The same record then carries the pickup quantity, cost and completion status back into the operation.
- Route-planning requests and interactive map views
- Multiple supplier stops inside one work order
- Mobile collection entry for quantity, cost and status
- Team tasks with statuses and algorithm-driven follow-ups
Cash follows the work order
Cash control is part of the operational record, not a separate spreadsheet. Teams can reconcile cash in, cash out and balance while admins review returns and approval requests with a clear status trail.
- Cash in hand by team, head-office cash and released cash
- Team-specific and operation-wide reconciliation
- Employee cash returns with pending, approved and rejected states
- Cash, sign-up, supplier, route and work-order approval requests
Reporting stays connected to the source
The system produces the reports, forms, signatures and exports the office needs without retyping field records. Notifications and follow-ups keep exceptions visible after the pickup is complete.
- CSV and XLSX exports for suppliers, collections and detailed cash ledgers
- In-app reports, forms and signatures
- Notifications tied to operational changes and follow-ups
- Database management inside the same platform
Built, launched and kept in use
The project started in August 2024 and reached production a few months later. I designed and developed the web and mobile products end to end, then continued adding features as the team used the system in daily operations.
- 9 field teams using the platform across the collection operation
- 2,000+ work orders, each able to contain multiple restaurant pickups
- Continuous post-launch features and workflow improvements
- Still live and used daily after more than 18 months
